This is a Remote Position with the Ideal Candidate residing in the Central Time Zone

JOB DESCRIPTION OVERVIEW:

The Administrative Coordinator provides administrative and clerical support to the Senior Vice President (SVP), Vice President of Operations (VPO), and Regional Medical Directors (RMD) as well as interfacing with other TeamHealth West Group departments and client contacts.

This position serves as a positive representative as a WG Admin Support team member and while supporting WG leadership in partnerships with both internal and external clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as a central access point for the VPOs and RMDs
  • Schedule meetings and conference calls for the VPOs and RMDs
  • Prepare meeting minutes, written correspondence/follow up and include necessary attachments as requested (spreadsheets, presentations, newsletters, etc.)
  • Responsible for pulling, sorting and distributing TeamHealth and dashboard reports
  • Responsible for running CRM/GMS audits and distribute to VPOs
  • Input metrics into CRM/GMS by required deadlines
  • Maintain and update monthly and quarterly hospital metric reports for Client for Life (CFL) and Monthly Operating Review (MOR) meetings
  • Establish working relationships with client hospitals to facilitate meetings and reports
  • Responsible for maintaining provider and client email lists
  • Establish due dates and prioritize workload
  • Arrange for handoff if unable to compete a task or if going to be out of the office
  • Relay messages to Administrative Coordinators, SVP, VPOs, or RMDs in an accurate and timely manner
  • Assist with follow up and sending out reminders for due dates as needed
  • Complete projects, assignments and other duties as assigned

 

Job Requirements

QUALIFICATIONS / EXPERIENCE:      

  • A minimum of two years of college or equivalent education
  • One (1) to three (3) years of related experience working with management;
  • Ability to handle confidential information;
  • Ability to work independently with minimal supervision.
  • Must have a keen attention to detail.
  • Excellent communication skills (verbal and written, with emphasis on grammar);
  • Excellent organizational skills and task efficiency.
  • Excellent computer skills (word-processing, spreadsheet, database management; report generation, Microsoft Outlook);
  • Good judgment and decision-making skills;
  • Ability to handle multiple tasks/deadlines; and
  • Ability to work in a team environment.
  • Professional telephone voice and appearance.

  • None

PHYSICAL / ENVIRONMENTAL DEMANDS:

  • Job performed in a well-lighted, modern office setting;
  • Occasional lifting/carrying (10 pounds or less);
  • Occasional standing/bending/stooping/reaching;

  • Prolonged work at a computer/PC.

This position may require manual dexterity and/or frequent use of the computer, telephone, 10-key, calculator, office machines (copier, scanner, fax) and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
