JOB DESCRIPTION OVERVIEW:

The Scheduling Assistant is responsible for collecting and entering scheduling data of D&Y providers for TeamHealth sites and setting the needed confirmation tasks to generate provider and client confirmations of shifts to be worked at the TeamHealth client site. This position additionally provides needed administrative support to the D&Y Scheduler(s) and Manager as directed. This position may include partnership with and support of designated D&Y Account/Recruiting Managers and their respective client contacts.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

** Hybrid role will need to be able to travel to Huntsville**

• Reconciling multi-site schedules in Shift Admin for TEAMHealth and comparing to the CRM

• Communicate with D&Y and client schedulers as needed

• Assisting with critical site scheduling and start-ups

• Requesting future dates of availability

• Attend Focus report calls for each region

• Assist with logging offered dates

• Assist with booking shifts as needed and setting appropriate tasks

• Covering schedulers when they are on PTO

• Ensure accurately and timely processing in obtaining signed confirmation letters from TH and providers

• Update confirmation contacts , as needed

• Manage cloned confirm – scheduling process

• Complete all of the tasks and assignments as directed by leadership

Job Requirements

QUALIFICATIONS / EXPERIENCE:

- High school graduate or equivalent; some college desired.

- Two or more years of administrative experience in a high volume, customer centric service environment.

- Excellent interpersonal skills.

- Excellent communication skills (verbal and written).

- Excellent problem solving skills with attention to details.

- Demonstrated efficient organizational skills

- Ability to meet tight deadlines in a successful manner.

- Ability to adapt to change and effectively handle varying levels of stress.

- Ability to maintain confidentiality of information in performance of tasks.

- Possess immediate or higher level of computer skills (word-processing, spreadsheet, data entry) with applicable experience in use of Excel.

- Possess the ability to think analytically.

PHYSICAL / ENVIRONMENTAL DEMANDS:

- Job performed in a well-lit modern office setting

- Prolonged work on a PC/Computer

- Prolonged sitting

- Occasional Lifting (10 pounds or less)

- Occasional standing/bending

- Moderate telephone work

- Moderate level of stress

This position may require manual dexterity and/or frequent use of the computer, telephone, 10-key, calculator, office machines (copier, scanner, fax), and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
