JOB DESCRIPTION OVERVIEW:

This position provides administrative and clerical support to the VPO and Facility Medical Director as well as interfacing with other TeamHealth Southeast departments and client contacts, including serving as a liaison between other departments, business units and management of TeamHealth.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs word-processing support including letters, memos and other correspondence by preparing, drafting, writing and editing related documents
  • Serves as a departmental contact point including acting as first point of contact for incoming calls, sorting and directing incoming/outgoing correspondence, interacting and communicating with management and staff of TeamHealth, business units, managers, officers, vendors, outside contacts, etc.
  • Assist with Provider Onboarding, including serving as designated representative of TeamHealth
  • Coordinates on site and off site meetings including conference arrangements, equipment, reservations, agendas, materials, food, etc., as appropriate
  • Establish working relationships with client hospital to facilitate meetings and report completion
  • Performs calendar maintenance, resolves scheduling conflicts and coordinates with other Executive Assistants; schedules, plans and coordinates meetings and prints related materials
  • Handles travel arrangements and accommodations as needed
  • Performs office and file management functions by organizing and directing the daily administration flow, including telephone requests, file management and maintenance and calendar maintenance
  • Completes various projects such as preparing reports, spreadsheets, etc; communicates information requests and project status to management
  • Maintains monthly reporting and prepares binders
  • Prepares and processes travel reimbursement
  • Prepares presentation materials for meetings, handouts, etc.
  • Assist with Medical Records as needed
  • Performs any other unspecified tasks associated with office services as requested by the Medical Director or VPO
  • Other duties as assigned

 

Job Requirements

QUALIFICATIONS / EXPERIENCE:

  • Two years of college education with emphasis in administrative, business, and communications courses or related work experience
  • Minimum three years of related administrative experience, preferably in an executive management capacity
  • Strong computer skills with intermediate skill level in Word, Excel and PowerPoint (word-processing, spreadsheet, tables, graphs), e-mail and Internet research
  • Excellent communication skills (verbal and written, with emphasis on grammatical skills)
  • Excellent organization and time management skills
  • Excellent interpersonal skills; professional demeanor with ability to interact with executive management
  • Strong problem-solving/decision-making skills
  • Ability to work with minimal direction/supervision
  • Ability to handle confidential information
  • Ability to work with multiple tasks and deadlines
  • Must be detail oriented
