JOB OVERVIEW

This position’s primary responsibility is to provide support related to the activities surrounding clinician scheduling collaborating with regional service centers’ staff and national support center departments. This role is to be focused on driving efficiencies, reducing premium labor and standardization with these back office functions, maximizing related proprietary operations software modules and responding to service needs and assisting with routine software releases as well as special projects..

ESSENTIAL FUNCTIONS

  • Document work processes and policies of clinician scheduling to identify areas for improvement along with possible solutions.
  • Provide ongoing scheduling software support for as it relates to identifying possible enhancements, increased automation, testing and implementation.
  • Prioritize tasks and facilitate operations support activities based on service center needs, regulatory changes, and/or mergers and acquisitions.
  • Provide end-user support as a back-up to the operations support manager.
  • Participate in project work teams in order to provide feedback on behalf of the clinician scheduling functions.
  • Provide support for special report requests regarding clinician worked hours and related metrics.
  • Ensure issues are reported on, tracked, and resolved in a timely manner.
  • Perform user testing, solicit user feedback, and provide approval of software changes and defects for facility and clinician contracting.
  • Facilitate task force meetings and special project sub-committees, providing input, distributing meeting agendas, and meeting minutes.
  • Serve as a subject matter expert and role model for processes and best practices.
  • Work to ensure seamless integration and support of other operations software modules.
  • Develop and deliver scheduling software presentations as needed for operational and clinical leadership, as well as regional end users.
  • Support scheduling needs in times of rapid growth or disaster responsiveness.
  • Work to support continued efforts to decrease premium labor.
  • Other duties as assigned.

Job Requirements

JOB QUALIFICATIONS

  • College degree (Bachelor’s degree, preferred); or related professional experience;
  • Excellent interpersonal and customer service skills;
  • Excellent verbal, written communication and presentation skills;
  • Excellent judgment, negotiating, decision-making and problem-solving skills;
  • Ability to manage and direct others;    
  • Ability to attend to detail and demonstrate proper sense of urgency;
  • Ability to handle multiple tasks/deadlines and prioritize appropriately;
  • Ability to work well in a rapidly paced, changing environment.
  • Ability to self-motivate and work with limited supervision
  • Ability to handle stress and conflict;
  • Advanced proficiency in various computer applications, i.e. word processing, spreadsheet, e-mail, database management and presentation software.
  • Ability to handle confidential information and discussions;
  • Excellent problem-solving and analytical skills;
  • Excellent organizational skills;
  • Familiarity with modern office equipment, i.e. facsimile, copier, scanner,etc.
  • Intermediate to advanced proficiency in Excel and PowerPoint; moderate proficiency in Word;
  • Basic knowledge of other software products, such as database applications, MS Visio, MS Project; and
  • Basic understanding of basic business units (HR, Legal, Compliance, Accounting, Payroll, Recruiting, etc.) and how they integrate.

PHYSICAL AND ENVIRONMENTAL DEMANDS

  • Job performed in a well-lit, modern office setting;
  • Occasional lifting / carrying (10 pounds or less);
  • Occasional standing / bending / stooping / reaching / pulling;
  • Moderate stress;
  • Prolonged sitting;
  • Prolonged work on a PC / Computer; and
  • Frequent Travel at times (up to 25%, both to newly acquired M&A and/or corporate/region).

This position may require manual dexterity and/or frequent use of the computer, telephone, calculator, office machines (copier, scanner, and fax) and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or occasionally more than five days per week.
