Job Description

This position provides a wide-range of administrative and operational support to the Provider Services leadership team. This position will report directly to the VP Provider Services and will support the Scheduling, Credentialing, Clinician Onboarding, Contracting leaders.   The position will coordinate and/or manage various projects, compile & analyze data, create reports & meeting presentations, and identify trends & recommend strategies for various projects & operations across all Regions. This position will at times be privy to highly confidential information and is expected to perform in a professional manner.

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Serves as a liaison for Division leadership team by coordinating activities, assignments, and projects with a variety of contact persons.
  • Serves in a project manager role for special or operational projects and tasks as assigned by the VP Provider Services, as needed or directed, including developing presentations, research and data collection, report building and maintenance and meeting scheduling.
  • Plans, executes, and monitors progress, as well as coordinates meetings and setup, for the various projects assigned.
  • Prepares meeting agendas, materials, and minutes for multiple projects, as well as follows up on meeting action items.
  • Organizes project documents, reports, and related documents, maintaining version control.
  • Uses facilitation skills in working with leaders and employees on projects in a manner that ensures ownership and commitment are maintained by team members.
  • Maintains database files and confidential information for the department. This includes data collection and entry into excel spreadsheets, analyzing and noting data inconsistencies, manipulates data into meaningful and / or special formats. Can also translate data in to graphical presentations as well as PowerPoint presentations.
  • Coordinates meetings including making room and media resource reservations, agenda development, scheduling attendees, compiling necessary materials, securing food and/or refreshments, processing contracts for services, preparing meeting minutes, etc.
  • Responsible for processing expense reports for business travel, check requests advance requests and client relations reimbursements. Maintain records of all expense reports.
  • Compile data and calculate monthly productivity and quality reports.
  • Develop and maintain financial spreadsheets used for gathering budget and projection information.
  • Composes letters, memos and emails as needed.

Job Requirements

  • Bachelor’s degree in Business Administration, Organizational Management, or other related field
  • A minimum of three (3) years administrative/office experience, preferably in a medical environment;
  • Advanced proficiency in Microsoft Excel (ability to create and work with pivot tables, write formulas, chart customization, create/edit report macros, etc.)
  • Excellent organizational skills and strong decision-making skills;
  • Ability to work well independently but function in a team environment;
  • Impeccable attention to detail when following set instructions and reviewing reports for accuracy
  • Experience in coordinating simultaneous projects and assignments from various levels across the organization by assessing project deadlines, establishing work priorities, and coordinating work schedules
  • Highly familiar with and advanced skills using the following: Word, PowerPoint, Visio and Outlook
  • Strong analytical skills;
  • Excellent written and verbal communication skills, including impeccable grammar; and
  • Professional demeanor and appearance with ability to interact with senior management.
