Job Description


Practice Coordinator is responsible for scheduling all Physicians/Mid-Level Practitioners in the anesthesiology department. This includes obtaining scheduling dates from physicians/CRNAs and assisting the in solving their scheduling problems.


  • Communicates with designated hospital Medical Directors to ensure the preparation of Physician/CRNA schedules for their respective departments. This may involve calling physicians and CRNAs to commit to uncovered shifts after the schedule has been prepared. In addition, this includes coordination and preparation of schedules for hospitals where no Medical Director is presiding.
  • Answer general policy and procedure questions from staff.
  • First level contact for FMD.
  • Monitor compliance training, MIPS
  • Submit CARS to be processed for changes to staff contracts.
  • Attend MCI meetings.
  • Maintaining CRM and outlook synchronization.
  • Maintain spreadsheets of employee data
  • Supporting VPO needs, assisting to respond to emails in their absence if needed, adding meeting notes to CFL.
  • Partnering with the credentialing team to assist with the credentialing process.
  • Communicating FMLA dates to HR when notified that someone is going out or returning from leave.
  • Partnering with Qgended account representative to make any changes needed.
  • Become familiar with the contracts and utilize this information to develop spreadsheets for bonus, stepups, PTO.
  • Liaison communicator to HR, payroll, billing, compliance, events, administration.
  • Communicates with all credentialed Physicians/CRNAs at each facility to ensure that all shifts are covered, including coverage for all unforeseen emergencies and schedule deficiencies in monthly packets. Completes and distributes scheduling packets to Physicians, CRNAs, partners and internal departments, facilities and directors.
  • Maintains and updates relevant Physician/CRNA information, such as telephone and pager numbers and addresses, to ensure that schedule packets are accurate and timely. This includes notifying the appropriate persons and departments of any changes to said information.
  • Work directly with FMD and Chief APC to create monthly call schedule on Qgenda.
  • Communicates effectively as needed with the team and other members of staff.
  • Completes all other tasks and assignments as delegated by the VPO.
  • Managing requests, call-outs etc. to meet daily numbers.
  • Managing PTO requests to ensure the total providers on PTO do not exceed the max number for each week/day. Ensure that PTO is scheduled evenly throughout the year.
  • Managing daily missed punches.
  • Review clinician hours and adjust staffing as needed to avoid premium pay or un-productive hours.
  • Review and research issues on timecards to ensure they are ready for payroll.

Job Requirements


  • High School Diploma
  • Three to Five years related experience
  • Experience in medical field a plus
  • Demonstrated organizational skills
  • Good telecommunication and computer skills (word-processing and spreadsheet)
  • Detail oriented
