Overview

The Administrative Coordinator provides administrative and clerical support to the Vice President of Operations (VPO) and Regional Medical Directors (RMD) as well as interfacing with other TeamHealth Southeast departments and client contacts.

Essentials Duties and Responsibilities
  • Serves department’s first point of contact for incoming calls, sorting and directing incoming/outgoing correspondence, interacting and communicating with management and staff of TeamHealth, business units, managers, officers, vendors, outside contacts, etc. Serve as a central access point for the VPOs and RMDs
  • Serve as a positive representative of the SEG Administrative Coordinators and SEG leadership to internal and external clients
  • Provide support to SVP/VPOs and/or RMDs as assigned
  • Establish positive relationships with client administration offices, coordinate on-site and off-site meetings including conference arrangements, equipment, reservations, agendas, materials, meals, etc., as appropriate
  • Performs calendar maintenance, resolves scheduling conflicts and coordinates with other Executive Assistants; schedules, plans and coordinates meetings and prints related materials
  • Prepare meeting agendas, take minutes; written correspondence, spreadsheets, presentations and newsletters as requested. Ensure that meetings have been completed and add attachments
  • Handles travel arrangements and accommodations as needed, and prepares and processes travel reimbursement
  • Establish due dates and prioritize workload. Send reminders for due dates as needed
  • Gather operational data from client servers to create reports and track productivity. Pull, sort, and distribute various reports and audits
  • Input metrics into CRM/GMS by required deadlines
  • Create and maintain provider and client email lists
Qualifications / Experience
  • 2 years of college or equivalent education
  • 1 - 3years of related experience working with management
  • Requires minimum supervision and ability to work independently
  • Strong written and verbal communication skills; able to convey complex information clearly and professionally
  • Demonstrated interpersonal, presentation, and organizational abilities
  • Sound judgment, critical thinking, and analytical skills to support decision-making
  • Ability to manage multiple priorities, meet deadlines, and adapt to fast-paced, high-pressure environments
  • Effective collaboration in team-oriented settings
  • Professional customer service skills, including tact and diplomacy in interactions with internal and external stakeholders
  • Proven ability to handle confidential information with discretion
  • Intermediate proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
