Job Description

The Credentials Supervisor will be responsible for overseeing the day to day functions of the Credentialing Department and Credentialing Coordinators. They will serve as a trainer and initial point of contact for all Credentials Coordinators. The Supervisor serves as a Subject Matter expert in regards to interactions with facilities, deadlines for processing and adherence to corporate metrics. The Credentials Supervisor promotes proactive communication regarding the status of active files for all stakeholders and collaborates with Provider Enrollment as needed.

 



ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Maintains personal adherence to professional confidentiality standards established within the Department and in accordance with legal, ethical, and hospital policies
  • Oversees and guides the training for all new team Members and any other training that is needed due to Process or Software Changes
  • Attends workshops and training sessions to stay current on credentialing and TeamHealth standards
  • Assists in the facilitation of the team process at TeamHealth by serving as an active member of the team. This includes attending all team related meetings; participating in developing and implementing center wide and team goals; participating in problem- solving and decision making; being flexible and adaptable to change; establishing trust and respect for other team members; placing team needs first; and by completing all necessary training. Position may require extended hours due to department demands.
  • Participates in an integrated work team as a responsible team member.
  • Ensures the team is following Credentialing process based on approved Process Map and escalation process
    • Notifying Credentialing Manager of any Credentialing Coordinators or Stakeholders that are not adhering to process for possible training or corrective action
  • Ensure that the Credentialing Coordinators are properly conducting and documenting their V&V work
  • Review and ensure APC Collaborative paperwork is complete and appropriately filed for all clinicians prior to work date
    • Escalating to Credentialing Manager any issues or Risks
  • Recruitment Calls/Meetings
    • Mentor Coordinators on proper communication techniques
    • Follow up on with Coordinators on Action items to ensure completion
    • Coach team on meeting preparation; standardized “tracker” and key points of information to share
  • Pending Privilege Report Training and Monitoring
    • Teach Coordinators how to properly manage Pending Privilege Repot, i.e. touch each provider weekly and update notes, escalate non-responsive issues early, accurate date entries, push for withdrawals, note important info in header (locums, resident, supervising physician, pending license, DEA and start date)
    • Monitor and track each Credentialing Coordinators Pending Privilege Report to ensure they are staying within Matrix and work on resolution for clinicians that are falling out
    • Monitor Credentialing Coordinator’s pipelines through the Pending Privilege Report and report to Credentials Manager any fluctuation in work flow and need for work distribution
  • Closely monitor and work with Credentialing Coordinator on “start up” facilities to ensure we meet start dates and immediately notify Credentials Manager of any potential Risks
  • Conduct Monthly Audit of Credentialing Coordinators files to ensure that they are adhering to departmental initiatives such as updating Facility Contract Requirements, Creating a Facility Application Screen, etc…
  • Monitor Expirables and ensure that the team is properly following up, notifying stakeholders, and performing lock outs as needed
  • Daily workflow prioritization based on team member absence, tardiness or special requests
  • Conduct Rounding sessions with Team Members
  • Report to Credentialing Manager any issues or concerns regarding Credentialing Coordinators or Stakeholders to implement any necessary corrective action
  • Other duties as requested by the Credentials Manager

 

Job Requirements

The job qualifications for this position are as follows:

 

  • One (1) to three (3) years of experience in a medical staff office or credentials position;
  • Excellent organization skills with the ability to handle multi-tasks;
  • Excellent interpersonal skills;
  • Excellent negotiation and persuasion skills;
  • Excellent verbal and written communication skills;
  • Legible handwriting;
  • Good computer skills (word-processing, spreadsheet, database management);
  • Ability to adapt to flexible work schedules and frequent interruptions;
  • Ability to problem solve, make decisions, and effectively communicate decisions;
  • Ability to coordinate and meet deadlines and deal with stressful situations; and
  • Ability to work in a team.

 



SUPERVISORY RESPONSIBILITIES:

 

  • Direct supervision and guidance for all PAC and Specialty Services Credentials Coordinators.
