Job Description

The Administrative Assistant is responsible for providing general administrative office functions that are essential to the Management of the Post Acute Service Line.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Maintains and updates provider and facility information into the “database” and Teamworks;
  • Assists with provider follow up regarding various issues including but not limited to delinquencies, course completions, training, form completions, etc.;
  • Responsible for provider scheduling that includes but may not be limited to keeping a calendar for facility coverage, weekend on-calls and provider vacations;
  • Distributes communication to providers as directed;
  • Maintains various files of correspondence, reports and audits;
  • Types reports, correspondence, memos, forms, including the distribution of bonus PDFs as needed;
  • Maintains and updates provider files, which includes but may not be limited to provider notes and medical records;
  • Assists in the preparation of PRN payroll, including the collection of timesheets as needed and resolution of payroll issues;
  • Prepares, maintains and updates spreadsheets when assigned, which may include, but is not limited to medical direction lists, medical malpractice information, recruitment, facility information and training log completions, etc.;
  • Reviews and process Accounts Payable invoices and reimbursements in Catalyst and as assigned;
  • Performs routine clerical work (memos, letters, etc.) copying, faxing, etc.;
  • Answer and routes phone calls; when appropriate, takes messages.
  • Checks for faxes throughout the day and distributes or follow-up as necessary;
  • Assist Providers with ordering supplies (progress notes, prescription pads etc.);
  • Supports the Clinical Practice Manager(s) as needed and assigned;
  • Serves as Liaison with Facility Admin Staff while CPM(s) are away;
  • Provides credentialing information to facilities and completes facility applications;

 

 

Job Requirements

  • High School Diploma or equivalent;
  • Minimum of two years of administrative experience;
  • Familiarity with medical terminology is a plus;
  • Knowledge of basic math and the ability to perform math functions in units of American currency;
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form;
  • Ability to review documents for accuracy and reasonability;
  • Ability to work well under pressure;
  • Tact and patience when dealing with individuals at all levels, both within and outside the company;
  • Ability to communicate effectively orally, in person and on the telephone, and in writing, with individuals at all levels, both within and outside the company;
  • Ability to multi-task, set priorities and follow through without direct supervision;
  • Ability to type efficiently and accurately;
  • Ability to operate a computer (i.e., Microsoft Office—including Word, Excel, PowerPoint and Outlook) efficiently and accurately;
  • Ability to operate various office machines (i.e., fax, copier).
