Billing Specialist

JOB DESCRIPTION OVERVIEW:

The Billing Specialist with Executive Assistant responsibilities provides administrative support to senior leadership while managing critical billing functions to ensure accurate and timely financial operations. This dual-role position requires exceptional organizational, communication, and analytical skills, with the ability to balance executive support responsibilities and financial detail work in a fast-paced, professional environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Billing and Financial Support
  • Retrieve, reconcile and load monthly billing data for invoice generation
  • Create client invoice support files and coordinate with internal departments and external vendors/clients to resolve billing inquiries.
  • Monitor AR balances and follow up on past due payments with clients, assist as necessary with escalated collection efforts.
  • Maintain accurate process documentation for the billing cycle and assist with ad-hoc analysis and reporting as necessary.
  • Identify and implement process improvements to increase billing accuracy and efficiency.

Executive Support
  • Provides administrative support/assistance to Leaders as assigned, including, but not limited to, the following:
  • Provide administrative support to executive leadership, including calendar management, meeting coordination, travel arrangements, and correspondence.
  • Prepare, proofread, and format reports, presentations, and internal communications.
  • Manage and prioritize incoming requests, ensuring timely follow-up and execution of tasks.
  • Coordinate logistics for internal and external meetings, including preparing agendas, minutes, and materials.
  • Serve as a liaison between executives and internal/external stakeholders to facilitate communication and workflow.
  • Maintain a high level of professionalism and discretion when handling confidential information.
  • Responsible for ordering office supplies and monitoring inventory.
  • Organizes and coordinates various company events such as Employee Appreciation. Day, holiday luncheons, etc. Orders holiday/special occasion gifts, and post monthly birthdays/anniversaries.
  • Update, maintain and distributes group directory.
  • Other duties as assigned.
  • Participates as a professional, responsible, cooperative administrative team member.

Job Requirements:

QUALIFICATIONS / EXPERIENCE:
  • Two years of college or equivalent education;
  • Three (3) to five (5) years of related administrative experience, preferably in an executive management capacity;
  • 2+ years of experience in billing, accounting, or financial support functions.
  • Strong understanding of billing processes, financial documentation, and accounts receivable practices.
  • Proficient in Microsoft Office Suite, with intermediate skills in Word, Excel, and PowerPoint (including tables, graphs, and spreadsheets), as well as email and internet research.
  • Strong interpersonal skills and a professional demeanor, with the ability to effectively interact with all levels of management.
  • Proven ability to manage multiple tasks, meet deadlines, and prioritize in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion.
  • Flexible and adaptable to change; comfortable navigating evolving priorities.
  • Strong problem-solving and decision-making abilities.
  • Excellent verbal and written communication skills, with a keen eye for grammar and detail.
  • Exceptional organizational and time management skills.
  • Self-starter with the ability to support multiple team members independently and with minimal supervision.
  • Collaborative team player with a strong sense of initiative and accountability.
