Qualifications / Experience- Bachelor's degree or equivalent work experience
- Five (5) to ten (10) years Management experience
- Three (3) to five (5) years of related experience, preferably in a medical setting working closely with physicians

Overview
The Director of Scheduling is responsible for leading, developing, and overseeing all Scheduling Department operations within the West Group. Overview
The Director of Scheduling is responsible for leading, developing, and overseeing all Scheduling Department operations within the West Group. This role ensures efficient clinician scheduling, supports operational leaders, manages Premium Labor, and drives performance improvement across the department. The Director also serves as a key liaison between the Scheduling Department, the Vice President of Provider Services (VPPS), and other West Group and TeamHealth leaders.
Essentials Duties and Responsibilities
Leadership & Department Management
- Lead, coach, and develop the Scheduling team, ensuring goals, processes, and performance expectations are consistently met.
- Conduct regular team meetings and participate in joint meetings with VPPS and other leaders.
- Provide input into staff performance reviews, compensation decisions, and disciplinary actions.
- Conduct quarterly evaluations for metric-based Scheduling Incentive Programs.
- Support hiring processes including interviewing, selection, onboarding, and orientation of new staff.
- Offer consistent feedback toward the maintenance and development of needed tools and reports supporting the Scheduling function.
Operational Oversight & Process Improvement
- Oversee day-to-day scheduling operations to ensure efficiency, accuracy, and timely publication of clinician schedules.
- Monitor effectiveness of processes, identify inefficiencies, and implement innovative solutions.
- Ensure alignment with organizational goals, budgetary guidelines, and clinician contract requirements.
- Direct and manage “At-Large” clinicians to ensure critical openings across the division are appropriately staffed.
- Support Locum Tenens utilization, including coordination, verification of hours worked, and routing invoices for approval.
Reporting & Performance Monitoring
- Prepare, analyze, and distribute regular and ad-hoc scheduling reports for operational leaders.
- Review performance data (financial, productivity, activity metrics) to track departmental progress and identify improvement opportunities.
- Collaborate with leadership on annual premium labor budget projections.
Clinician Scheduling
- Ensure Scheduling Department Staff are supporting accurate and timely schedules for Physicians and Advanced Practice Clinicians (APCs) at all assigned facilities.
- Identify and communicate anticipated scheduling gaps requiring At-Large or Locum support.
- Obtain and report Shift Fee approvals; collaborate with Payroll to ensure accurate clinician compensation.
- Support and guide all Scheduler types to meet regional goals of schedules published at least 30 days in advance.
- Collaborate with Recruiting, Contracting and Clinical Leadership toward a strong PRN clinician management strategy and efforts.
- Proactive attention and input related to new contract start-ups scheduling needs and strategies.
- Fostering a culture of relationship building and training with clinician leaders (FMD, AFMD, APCL) assuming new responsibilities for scheduling at their facilities.
Cross-Functional Collaboration
- Work directly with VPPS and operational leaders on scheduling strategy and resource planning.
- Collaborate with Contracting, On-Boarding, Credentialing, and Compensation teams to ensure proper mapping of clinician data for contract, privilege, scheduling, and compensation changes.
- Direct and facilitate Shift Admin system access, troubleshooting, and issue resolution for Scheduling Staff, Clinicians, Medical Directors, and operations leaders.
