Overview
The Provider Scheduler is responsible for scheduling all Physicians and APC/APP Practitioners in the Anesthesia department. This includes but not limited to: organizing orientations, obtaining provider availability and PTO, and schedule available dates based upon the facility needs. The Scheduler must fill all open shifts/needs and fill in emergent/urgent open shifts as they arise. Schedulers are responsible for after-hour and weekend needs for their assigned facilities.

Essentials Duties and Responsibilities
  • Communicates with the Facility/Assistant Facility Medical Directors and Chief APC/APP(s) of designated facilities to ensure the preparation of Physician and APC/APP schedules for their respective departments
  • Communicates with all credentialed Physicians and APC/APPs at each facility to ensure that all shifts are covered, including coverage for all unforeseen emergencies and schedule deficiencies
    • This may involve calling/texting/emailing physicians and APC/APPs to commit to uncovered shifts after the schedule has been prepared. In addition, this includes coordination and preparation of schedules for hospitals where no Medical Director is presiding
    • Schedulers are responsible for organizing and scheduling provider PTO as well as covering any opens during providers PTO/off days
    • The Scheduler maintains each provider schedule in the company’s scheduling platform/database; they also communicate with locum agencies and properly maintain confirmation letters for the locums as well as review and approve locum timecards
  • Scheduler accurately maintains the database for provider stipends/incentives
  • Communicates effectively and timely with Facility leadership, internal departments and the providers
  • Provide various reports to facility leadership and to management
  • Completes all other tasks and assignments as delegated by the Scheduling Manager

Qualifications / Experience
  • High school graduate; college attendance is a plus
  • 3 - 5 years of experience in provider scheduling
  • Experience in medical field
  • Self-Motivated
  • Demonstrates organizational skills and time management
  • Can work independently or in a team environment (both in a remote setting)
  • Detail oriented and ability to multi-task
  • Ability to meet stringent deadlines in a fast-paced position
  • Good telecommunication skills (Microsoft Office: Word and Excel) as well as on the phone, text and email.
  • Ability to maintain approved working hours in remote setting
