JOB DESCRIPTION OVERVIEW:

The Sr Operations Specialist is responsible for supporting the Vice Presidents of Operation is a variety of administrative tasks, including but not limited to the accuracy of clinician reporting for payroll, position control etc. to allow VPO’s to focus on client and clinician retention.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Review Qgenda and payroll for comparison at each practice weekly to make corrections and ensure accurate payroll. Communicate with providers on correction and encourage completeness and accuracy.
• Completes new compensation and task or change form in QGenda
• Run Utilization and efficiency Reporting (Tableau/QGenda) for practices where we are working to improve efficiency of scheduling and staffing
• Updates CRM, per instruction, for contacts specific to clients, including meeting minutes
• Reviews and approves Monthly Incentive Schedule and process set ups for salary/PTO changes (stipends/bonuses). May also include assisting in recoupment.
• Prepares Status Change Requests for changes in FTE, resignations/terminations and opens job requisitions to align with recruiting needs
• Works closely with Credentialing staff to ensure we are on track for new employee start dates
• Review and relays Orientation Materials to onboarding and upgrading W2 clinical staff
• Monitors pending Compliance Training, I-9s, and any general requirements made to the clinical staff and follows up on pending items
• PTO tracking and audits to ensure accuracy in QGenda for initial hire, new year balances, increases/decreases and in the event of termination
• Participates in meetings/discussions with FMDs regarding staffing and recruiting, Financial Dashboard Reviews as appropriate, and certain ad hoc meetings
• Maintains various spreadsheets and reports in but not limited to Excel, PDF, Smartsheet’s
• May collaborate with scheduler to communicate with designated hospital Medical Directors to ensure the preparation of Physician/CRNA schedules for their respective departments. This may involve calling physicians and CRNAs to commit to uncovered shifts after the schedule has been prepared. In addition, this includes coordination and preparation of schedules for hospitals where no Medical Director is presiding.
• Answer general policy and procedure questions, and become primary point of contact for clinical staff
• Communicating FMLA dates to HR when notified that someone is going out or returning from leave.

QUALIFICATIONS / EXPERIENCE:

• High School Diploma

• Three to Five years related experience

• Strong sense of urgency and action oriented

• Experience in medical field a plus

• Demonstrated organizational skills

• Good telecommunication and computer skills (word-processing and spreadsheet)

• Detail oriented
