Job Description

JOB DESCRIPTION OVERVIEW:

This position is responsible for assisting the coordination of schedules and scheduling providers in hospital medicine facilities for TeamHealth. This includes obtaining scheduling data from physicians, scheduling of locums to help fill open shifts and assisting physicians and providers in solving their scheduling problems.  May provide administrative and technical support to the Director and team members including assisting and coordinating the daily functions of the team.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Communicates with the Medical Directors of designated hospitals to ensure the preparation of physician schedules for their respective department. This may involve contacting physicians to commit to uncovered shifts after the schedule has been prepared. In addition, this includes coordination and preparation of schedules for hospitals where no Medical Director is presiding.
  • Communicates with all credentialed physicians at each facility to ensure that all shifts are covered, including coverage for all unforeseen emergencies and schedule deficiencies in monthly packets.
  • Communicates with physician extenders to ensure that all shifts are covered within the various facilities, including coverage for all unforeseen emergencies and schedule deficiencies.
  • Completes and distributes schedules to physicians, locums companies, facilities, and directors.
  • Maintains and updates relevant physician and physician extender contact information, such as telephone and pager numbers, addresses and E-mail to ensure that scheduling backups are accurate including data for locums providers. This includes notifying the appropriate persons and departments of any changes to said information.
  • Enters scheduling data into TeamWorks, including any changes or corrections to the schedule as deemed necessary.
  • Communicates effectively as needed with members of Physician Services.
  • Completes all other tasks and assignments as delegated by Supervisor.
  • Reports bonus information promptly to Physician Payroll.
  • Assists in functional physician services areas as needed (i.e. credentialing, physician recruitment) including but not limited to providing administrative, clerical or technical expertise.
  • Participates in an integrated work team as a responsible member.
  • Assists in the facilitation of the team process at TeamHealth by serving as an active member. This includes attending all related meetings; participating in developing and implementing center-wide and team goals; participating in problem-solving and decision making; supporting corporate and center management decisions; being flexible and adaptable to change; establishing trust and respect for other team members; placing team needs first; and by completing all necessary training.
  • Follows the norms and guidelines established by the team for communication, production, efficiency, conflict resolution, decision-making, problem-solving, and interpersonal relations.

 

Job Requirements

QUALIFICATIONS / EXPERIENCE:

  • One (1) to three (3) years of related experience, preferably in a medical setting working closely with physicians;
  • Exceptional negotiation and persuasion skills;
  • Excellent communication skills (verbal and written);
  • Excellent problem-solving skills;
  • Ability to work well with deadlines, stressful situations and multiple tasks;
  • Ability to think creatively within a short time-frame;
  • Ability to work a flexible schedule;
  • Ability to adapt to change and handle stress; and
  • Advanced proficiency in various computer applications, i.e. word processing, spreadsheet, e-mail, database management and presentation software;
  • Ability to handle confidential data;

 

SUPERVISORY RESPONSIBILITIES:

  • None

 

PHYSICAL / ENVIRONMENTAL DEMANDS:

  • Job performed in a well-lighted, modern office setting;
  • Occasional lifting/carrying (5 pounds or less);
  • Occasional standing/bending;
  • Prolonged sitting;
  • Prolonged hours of work (evening, weekends, required on-call coverage);
  • Prolonged work in a computer/PC;
  • Prolonged telephone usage;
  • Moderate to high stress levels; and
  • Light to moderate travel.

 

This position may require manual dexterity and/or frequent use of the computer, telephone, 10-key, calculator, office machines (copier, scanner, fax) and/or the ability to perform repetitive motions and/or meet production standards to comply with the essential functions. Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
