Job Description

  • Oversee the day to day management of all Programs in assigned region to ensure that programs are run efficiently and client needs are being met on a day to day basis.
  • Responsible for implementation and management of service commitments to clients including initial program start-up. Plan and coordinate the operational aspect of the initial phase of the program including hospital registration, clinic issues, equipment list, supply list, etc.
  • Recruit, source, interview candidates for all program positions in coordination with HR and VP of Ops.
  • Create and deliver training on medical coding, policies & procedures, patient flow & tracking, and start-up operations for program coordinators.
  • Work closely with the VP of Ops to negotiate and resolve start-up and operational issues when they arise, maintaining the best interest of the Company and commitment to the client.
  • Provide guidance to Program Coordinators and Program Managers and develop policies on best practices related to coding and charge entry.   This includes reviewing operative reports and other documentation to properly code services using current CPT and ICD9 codes.
  • Formulate policies and procedures at the Program level to ensure compliance with client hospital policies and Delphi policies and procedures.
  • Work closely with hospital leadership to address any concerns at the site regarding personnel management and any work flow issues, maintain open communication with hospital administration and provide periodic updates to administration to ensure that problems are proactively addressed and promptly resolved.
  • Ensure regulatory compliance and safety/privacy regulations are maintained and followed by the program coordinator of every contract. Conduct regular audits and establish measures to maintain ongoing level of performance.
  • Provide guidance and input related to scheduling of physicians when needed.
  • Working closely with Operations, Director of Billing and staff to monitor billing and collections process for each program. Analyze reports from billing system and provide feedback to management. Assist in creating benchmarks for performance measurement.
  • Coordinate the development of future objectives for each Program Coordinator and Program Manager tailoring the goals to each program.  
  • Develop and maintain positive working relationship with contracted clients. Provide reports and presentations to clients on status of start-up and operational issues when needed.  
  • Provide support to the VP of Ops trouble shooting issues and providing information when needed.  
  • Interpret and analyze complex spreadsheets as a tool to monitor performance of each contract in the initial start-up phase.
  • Work closely with HR Department to ensure all employees are hired and trained according to Company policies and procedures.
  • Ensure continuous improvement in the quality of service provided by the company and contractors of the company.
  • Stay abreast of coding changes and improvements to the current practices and trends.
  • Other duties as required and assigned by the VP of Ops. These may, on occasion, be unrelated to the position described here.


Job Requirements

  • BA or BS Degree required. MBA or MHA preferred.  
  • A minimum of 7 to 9 years of experience in a multiple provider practice setting and/or within a hospital Intensive Care Unit at the management level. Must have 3 years experience with coding, billing and collections.       Professional medical coding certification preferred. Must have medical scheduling and billing management experience in a practice and/or hospital setting. Substantial experience interacting with health care executives and physicians required. Considerable experience coordinating practice efforts with hospitals required. Proven ability to support multiple projects and work with multiple people simultaneously. Customer service driven work ethic.
  • Advanced computer skills required. Must have ability to work with sensitive information and maintain confidentiality. Must have exposure and experience with health care technology (Electronic Medical Records, Coding software and Practice Management Information Systems).       business finances and budgets to aid in the cost management of assigned contracts. Effective verbal and written communication.       Ability to travel on short notice and maintain unpredictable work schedule to meet client needs is required. Efficient organization and time management.



  • Manages Program Staff at each site
