Job Description

The OB/GYN Practice Coordinator is responsible for supporting and maintaining the practice both administratively and operationally. Administratively, by supporting the TH Facility Medical Director and provider staff, Vice President of Operations, Operations Director and National Medical Director, and by working with hospital administration to ensure all needs are being met.
Operationally, by accurately identifying, and accounting for each patient seen in the hospital by the hospitalist physicians. The Practice Coordinator is responsible for obtaining, reconciling and forwarding all required documents of each patient through eBridge to the coding company. Additionally, he/she will work with the facility to gather key facility metric data for dashboards. The individual in this position is required to perform to productivity standards and meet target goals as outlined by the RCOM.

ESSENTIAL RESPONSIBILITIES:
1. The OB/GYN Practice Coordinator has the responsibility to carry out duties as directed by TeamHealth.
2. The OB/GYN Practice Coordinator shall communicate on a regular basis with the RCOM.
3. The OB/GYN Practice Coordinator will follow and maintain patient confidentiality appropriate with HIPAA compliance standards at all times.
4. Will access hospital information systems, or work with facility staff to procure patient demographic and insurance data ensuring accurate patient registration is being entered in the billing system following a daily and monthly reconciliation process.
5. Coordinate completion of all clinical documentation from physicians; and proactively work with medical director to ensure complete documentation and signatures.
6. Alert RCOM and seek assistance from TeamHealth when an activity or process change at the facility changes or deviates from the current process.
7. Achieve and maintain individual target goals for the facility as designated by the RCOM.
8. Maintain professional appearance and performance at all times.

ADMINISTRATIVE RESPONSIBILITIES:
1. Support Facility Medical Director (FMD) and staff, VP of Operations (VPO), Operations Directors (OPS), Regional Medical Director (RMD) and National Medical Director (NMD).
2. Monthly TH OB administration meeting – scheduling of meeting, agenda preparation, and minutes.
3. Monthly provider meeting – scheduling of meeting, agenda preparation, and minutes.
4. Monthly collecting and tracking of key data for dashboards.
5. Completion of dashboards to be submitted to the FMD, VPO and RMD on a monthly basis.

6. Message and mail distribution.
7. Call Back Patients and aid in scheduling TH OB/GYN Hospitalist clinic appointment where applicable.

OPERATIONAL RESPONSIBILITIES:
1. The OB/GYN Practice Coordinator shall obtain the daily fee tickets from the provider on call.
2. The OB/GYN Practice Coordinator shall register each patient in the billing system creating an encounter. Each patient account is balanced to the daily census and delivery reconciliation processes.
3. The OB/GYN Practice Coordinator will scan the entered fee tickets (batch) into eBridge for the coding company’s access.
4. The OB/GYN Practice Coordinator shall communicate with the RCOM and TH OBphysicians when records are identified as incomplete. If the said record is not completed within the acceptable period, notification will be communicated to the RCOM, FMD, VPO, OPS and RMD as needed.
5. The OB/GYN Practice Coordinator is expected to identify and retrieve all missing or incomplete records in a timely manner.
6. The OB/GYN Practice Coordinator will assume tasks, duties and responsibilities as assigned by the RCOM or designated TeamHealth staff.
7. The OB/GYN Practice Coordinator shall develop and maintain a positive working relationship with hospital staff.
8. The OB/GYN Practice Coordinator shall work the number of assigned hours per weeks and complete a time sheet weekly in Kronos.
9. Vacation and time off is to be scheduled in advance to ensure the workflow is not interrupted.

 

Job Requirements

JOB QUALIFICATIONS:
General knowledge of the medical record process, with a least one-year experience in a hospital or physician office setting with an understanding of patient registration and medical documents is preferred. Clerical and reconciliation experience as well as the ability to maintain record keeping.

WORK CONDITIONS/PHYSICAL AND ENVIRONMENTAL DEMANDS:
Since the position is remote to TeamHealth Acute Care Services, it requires an individual who has the ability to work independently. The individual must be conscientious about reporting to management.

Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
