JOB DESCRIPTION OVERVIEW:

The Credentials Coordinator is an administrative position coordinating medical staff and medical assistant privileges for all physicians, nurse practitioners, and physician assistants recruited and contracted for Emergency Medicine. The position requires disciplined follow up, organization skills and detailed documentation in Teamworks.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Completes physician, nurse practitioner, and physician assistant applications for hospital privileges.
  • Performs follow-up with contracted hospitals in order to expedite physician and physician extenders privileges. Notify stakeholders: VPCS’s, FMD’s, scheduler, and recruiters about the credentialing status via email
  • Maintains Teamworks database to identify and disseminate to others (recruiting, scheduling, contracts) hospital privilege report status.
  • Completes/assists with state medical license applications for physicians upon request.
  • Performs follow-up with state medical licensure boards on status of license application in order to expedite the process.
  • Coordinates, completes, and follows-up on the reappointment process for contracted hospitals.
  • Initiates the process for insuring malpractice coverage for all contracted physicians, nurse practitioners, and physician assistants including inquiries for copies of PLI certificates.
  • Coordinates, monitors, and completes the verification process for all contracted physicians, nurse practitioners, and physician assistants including an initial review of verifications.
  • Insures current documentation is on file for all contracted physicians and all pertinent documentation is forwarded to appropriate hospitals. Monitors expired credentials reports and sends out letters timely to providers.
  • Maintains personal adherence to professional confidentiality standards established within the Department and in accordance with legal, ethical, and hospital policies.
  • Interacts with recruiters and Provider Enrollment on the team to begin the credentialing process for hospital privileges on incoming physicians and physician extenders.
  • Upon emergent staffing crisis or new contracts with no FMD, assists with scheduling.
  • Prepares expense reimbursement for independent contractor physicians. Follows guidelines as required and submits for approval.
  • Submits shift bonus to Payroll monthly by deadlines, due to staffing crisis upon approval.
  • Order lab coats, prescription pads, and business cards upon request.
  • Attends workshops and training sessions to stay current on credentialing standards.
  • Performs related work as required.
  • Participates in an integrated work team as a responsible team member.
  • Assists in the facilitation of the team process at TeamHealth by serving as an active member of the team. This includes attending all team related meetings; participating in developing and implementing centerwide and team goals; participating in problem-solving and decision making; being flexible and adaptable to change; establishing trust and respect for other team members; placing team needs first; and by completing all necessary training. Position may require extended hours due to department demands.
  • Follows the norms and guidelines established by the team for communication, production, efficiency, conflict resolution, decision-making, problem-solving, and interpersonal relations.

 

Job Requirements

QUALIFICATIONS / EXPERIENCE:

 

  • Two (2) years of college (specifically business courses); or
  • One (1) to three (3) years of experience in a medical staff office or credentials position;
  • Excellent organization skills with the ability to handle multi-tasks;
  • Excellent interpersonal skills;
  • Excellent negotiation and persuasion skills;
  • Excellent verbal and written communication skills;
  • Legible handwriting;
  • Good computer skills (word-processing, spreadsheet, database management);
  • Medical Staff Certification is required upon completion of requirements for certification as outlined by the National Association of Medical Staff Services;
  • Ability to attend to detail;
  • Ability to adapt to flexible work schedules and frequent interruptions;
  • Ability to problem solve, make decisions, and effectively communicate decisions;
  • Ability to coordinate and meet deadlines and deal with stressful situations; and
  • Ability to work in a team.

Also, may require physical and/or mental stamina to work overtime, additional hours beyond a regular schedule and/or more than five days per week.
